Privacy Policy

VATT ("the Service") is a voicemail transcription and call-management platform operated by HelloSolved and used by healthcare practices and other businesses ("client offices") to manage their phone communications. This policy describes what information the Service processes and how it is protected.
Information we process
- Voicemail content — audio recordings and machine-generated transcripts of voicemails left for a client office.
- Call records — metadata about calls to and from a client office (caller number, dialed number, time, duration, outcome). Call records do not include call audio.
- Contact information — caller phone numbers and, where available, caller names, used to deliver messages and optional text-message replies on behalf of the client office.
- Account information — names, email addresses, and login credentials of client office staff who use the Service.
How information is used
Information is processed solely to provide the Service to the client office: transcribing and delivering voicemails, notifying office staff, sending text-message replies the office has configured, and producing call-activity reports for the office. HelloSolved does not sell personal information and does not use voicemail content for advertising or for training its own models.
Health information (HIPAA)
Voicemails left for a healthcare practice may contain protected health information (PHI). Where the Service is used by a HIPAA-covered entity, HelloSolved acts as a business associate and processes PHI under a Business Associate Agreement with that practice. Vendors that handle voicemail content on our behalf (cloud storage, transcription, email delivery) are engaged under corresponding agreements.
Security
- Voicemail audio and transcripts are encrypted at rest (AES-256) and in transit (TLS).
- Access is restricted to the client office's authorized users, protected by multi-factor authentication.
- The Service maintains audit logs of access to voicemail content.
Retention
Each client office sets its own voicemail retention period. When a voicemail expires or is deleted under that policy, its audio and transcript are removed from the Service. Call records are retained for reporting purposes.
Text messages
Where a client office enables automatic text replies, messages are sent from the office's own business number. Reply STOP to any such message to opt out of further texts from that office.
Your choices and contact
Requests about personal information handled by the Service — access, correction, or deletion — should be directed to the client office you called; HelloSolved supports the office in fulfilling them. For questions about this policy, contact HelloSolved through your office's account representative.
